What we do with the details you give us, what this website collects on its own, and how to get any of it removed. Written to be read, not to be skipped.
This policy explains what West Yorkshire Schools of Karate & Oriental Arts (WYSOK) does with your information when you use this website. WYSOK is an association of independent martial arts clubs based in West and South Yorkshire. For anything on this page, write to swalker@wysok.co.uk.
The short version
We ask for as little as we can, we use it to answer you, and we do not pass it to anybody for marketing. There is no advertising on this site, no analytics, and no mailing list. If you want anything removed, ask and it will be.
When you send an enquiry
The forms on this site ask for your name, an email address or phone number, who is going to be training, which club you are interested in, and whatever you choose to write in the message.
That is sent as an email — to the instructor of the club you picked, and to the association. It is not saved into this website, and there is no database of enquiries behind it. The instructor keeps your message for as long as it takes to answer you and get you into a class, then deletes it.
We handle it on the basis that you have asked us to: you are contacting us about training, and answering you is what you wanted. You can ask us to delete the message at any point, including after you have started training.
Enquiries about children
If the person training is a child, the enquiry should come from a parent or guardian. Please send only what we need to answer you — a first name and an age is plenty. Do not send medical details through a web form; tell the instructor in person on the night, which is more useful anyway.
Once someone joins a club, membership forms, licences and insurance are handled by that club and by NAKMAS. That is separate from this website and is not covered by this policy — ask your instructor about it.
The black belt register
This site publishes a register of Dan grades awarded within WYSOK, listing each person’s name, grade and art. It is a historical record of the association and has been published for many years.
If you are on it and would rather not be, email swalker@wysok.co.uk and you will be taken off. You do not have to explain why.
What this website collects on its own
Nothing that identifies you. There is no Google Analytics, no advertising network, no tracking pixel and no “like” button.
Our hosting provider, IONOS, keeps standard server logs — the address of the page requested, the time, and the IP address it came from — which they use to run and secure the servers. Those logs are theirs and are deleted on their schedule.
Cookies
This site sets no cookies of its own for visitors. Nothing is stored to recognise you, follow you between sites, or build a profile.
One small thing is kept in your browser’s local storage: a note that you have dismissed the cookie notice, so it does not reappear on every page. It contains no information about you, never leaves your device, and clearing your browser data removes it.
WordPress, which this site runs on, sets cookies only for people who log in to administer it. If you are just reading the site, that never applies to you.
Other companies involved
Some parts of the site load content from other organisations. When that happens, your browser contacts them directly and they can see your IP address, in the same way any website you visit can.
- Maps — the club finder uses Leaflet, with map tiles from CARTO and map data from OpenStreetMap contributors. These load only on pages that show a map.
- Postcode search — when you type a postcode into the club finder, that postcode is sent to postcodes.io, a free UK postcode service, to turn it into a location so we can sort clubs by distance. It is not sent to us and we do not keep it.
- Facebook — the news page shows posts from our Facebook page, and that content comes from Meta’s servers. Meta may see your IP address and set its own cookies when that page loads. Their terms are theirs, not ours; if that concerns you, avoid the news page or block third-party content in your browser.
- IONOS — our web host, based in the UK and Germany.
We do not sell information to anybody, and we do not share it with anyone for marketing. The only people who see your enquiry are the instructor you contacted and the association.
What you can ask for
You can ask us what we hold about you, ask us to correct it, ask us to delete it, or object to us holding it at all. Email swalker@wysok.co.uk and we will deal with it — there is no form to fill in and no charge.
If you are not happy with how we have handled something, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
Changes to this policy
If how the site works changes — a booking system, a newsletter, anything that collects more than this does — this page will be updated before that goes live. The date it was last changed is shown at the top.
